REQUIRED RENTAL DOCUMENTS

THE REQUIRED DOCUMENTS ARE

When collecting the vehicle, both the main driver and additional drivers must present a valid Driving Licence with a photocard and a valid Passport.

A credit card in the name of the main driver is required, with sufficient funds for both the security deposit and for any service or extras requested locally. The card (either credit or debit depending on the destination/supplier) must display the 16 numbers and show the expiry date. The PIN code will be required.

The Flexible Autos voucher is required when picking up your rental car.

If you do not present any of the required documents, the documentation is not valid or you do not have enough funds on your credit card, the car rental agent may refuse to deliver the vehicle, without refunding any amount if the supplier establishes it in its conditions.

If the Customer Drivers Licenses is not in English, customers must have an International Drivers License.

IMPORTANT: It is the drivers responsibility to ensure that they have the appropriate licence. Please check with the embassy or consulate in advance.

For Australian rentals, customers who are not Australian citizens must present their valid passport on collection along with their driver''s license and/or a valid International Driving Permit.

LICENCE REQUIREMENTS

Driving Licences must be held for a minimum of 2 years.

An international driving license will be required if the customer''s driving license is not written in English

There are standard charges for payment with credit cards and debit cards.

Visa Credit and Debit: 1.2% (plus GST)
Mastercard Credit and Debit: 2.11% (plus GST)
American Express: 1.75% (plus GST)
Diners Card: 2.75% (plus GST)

Europcar accepts Visa Debit and MasterCard Debit cards. A debit card must be presented on collection and the card number must be embossed. The debit card used for payment of the rental must be in the main driver’s name.


Deposit amount with a debit card will be 500.00 AUD

Debit cards are not accepted for renting a People Mover, Prestige and Commercial vehicles.

In case of damage or theft, a police report must be presented; otherwise, the insurance will be invalid.

Drivers aged between 21-22 cannot reduce their Damage Liability Fee.


FUEL POLICY

THE FUEL POLICY IS

Cars will be supplied with a full tank of fuel and should be returned full. Otherwise the client will be charged for missing fuel, plus a refuelling charge.
It’s important the customer refuels within 10 kilometers from the drop-off point and keep the fuel station ticket.
The missing fuel is calculated according to the supplier''''s rate charts. Fuel cost per litre is higher at the rental desk.
Prepaid Fuel - This option allows the customer to pay for a full tank of fuel at the time of rental, and return the rental car empty.
Pre-paid fuel charges are lower than market price.

ADDITIONAL DRIVERS

ADDITIONAL DRIVER REQUIRMENTS ARE

Additional drivers have a local charge of 8.80 AUD per day plus local taxes with a maximum charge of 120 AUD per rental plus local taxes.

All additional drivers must meet all rental requirements, accompany the main driver when picking the rental car up and sign the rental agreement.


DRIVING RESTRICTIONS

GENERAL RESTRICTIONS ARE

Driving the vehicle without prior consent outside of the hire country will invalidate the agreed insurance coverage.

Cars cannot be taken off Road or out of the mainland or out of the country. Restrictions apply in remote areas.

(a) on any Unsealed Road unless:

(i) it is a well maintained road of no more than 500 metres in length, for the sole purpose of accessing accommodation or official camping areas and your speed is not more than 40 kilometres per hour; or

(ii) Unsealed Road Cover has been purchase

(b) above the Snow Line unless Snow Cover has been purchased;

(c) Off Road;

(d) between mainland Australia and Tasmania in either direction;

(e) onto any island with the exception of:

(i) Kangaroo Island;

(ii) Stradbroke Island;

(iii) Magnetic Island;

(iv) Bribie Island;

(v) Phillip Island; or

(vi) Bruny Island,

(f) through any river, stream, creek or tidal crossing;

(g) through flood waters or on flood prone roads or on any road where the state or condition of the road make the use of the vehicle unsafe;

(h) on any road where the police or any government or statutory authority has issued a warning, caution or which has been closed;

(i) onto any road where We have notified You that the use of the Vehicle is prohibited;

(j) in Queensland:

(i) north of Chillagoe or west of Georgetown;

(ii) north of Cooktown or Laura;

(iii) on the Burke Development Road;

(iv) north of Maggieville;

(v) on Unsealed Roads north and west of Mt Isa;

(vi) on the Bloomfield track; or

(vii) on the Savannah Way;

(k) on the Tanami Track and the Gunbarrel Highway in Western Australia and the Northern Territory; or

(l) on the road from Jim Jim Falls to Twin Falls in the Northern Territory, even if Unsealed Road Cover has been purchased.

7.11 There are other prohibited areas where You must never take the Vehicle:

(a) in Western Australia:

(i) on the Gibb River Road;

(ii) on the Cape Leveque Road;

(iii) on the road to Windjana Gorge;

(iv) on the Cardabia - Ningaloo Road; or

(v) on the access road from the Great Northern Highway to the Purnululu National Park, commonly known as the Bungle Bungles;

or

(b) in the Northern Territory on the Larapinta and Namitjira Drives, commonly known as the Mereenie Loop, unless the Vehicle is a 4WD and you have purchased Unsealed Road Cover and You have hired a second spare wheel from us.

Parts of Australia are not suitable for access by rental vehicles. To prevent Damage to
the Vehicle and for Your own personal safety We strictly enforce conditions that restrict
Your use of the Vehicle.

9.2 General prohibited areas

Unless We have given Our prior written consent, You must never take the Vehicle:
(a) on any Unsealed Road unless:
(i) it is a well-maintained road of no more than 500 metres in length, for
the sole purpose of accessing accommodation or official camping
areas and Your speed is not more than 40 kilometres per hour; or
(ii) Unsealed Road Cover has been purchased;
(b) above the Snow Line unless Snow Cover has been purchased;

9.3 Specific prohibited areas

Even if the Vehicle is a Four-Wheel Drive (4WD) and Unsealed Road Cover has been
purchased You must never take the Vehicle:
(a) in Queensland:
(i) north of Chillagoe or west of Georgetown;
(ii) north of Cooktown or Laura;
(iii) on the Burke Development Road;
(iv) north of Maggieville;
(v) on Unsealed Roads north and west of Mt Isa;
(vi) on the Bloomfield track; or
(vii) on the Savannah Way;
(b) in South Australia:
(i) to Mount Dare; or
(ii) on the Strzelecki Track;
(c) through or across the Simpson Desert in South Australia, Queensland and the
Northern Territory;
(d) on the Tanami Track and the Gunbarrel Highway in Western Australia and the
Northern Territory; or
(e) on the roads to Jim Jim Falls or Twin Falls in the Northern Territory;
(f) onto any island with the exception of:
(i) Kangaroo Island;
(ii) Stradbroke Island;
(iii) Bribie Island;
(iv) Phillip Island; or
(v) Bruny Island; or
(g) between mainland Australia and Tasmania in either direction.

9.4 Additional prohibited areas with limited exemptions for some 4WD Vehicles
Unless the Vehicle is a 4WD and Unsealed Road Cover has been purchased You
must never take the Vehicle:
(a) in Western Australia:
(i) on the Unsealed Road section of the Cape Leveque Road;
(ii) on the road to Windjana Gorge;
(iii) on the Cardabia - Ningaloo Road; or
(iv) on the access road from the Great Northern Highway to the Purnululu
National Park (Bungle Bungles);
(b) in South Australia:
(i) on the Oodnadatta Track; or
(ii) on the road to Dalhousie Springs; or
(c) in the Northern Territory on the Larapinta and Namitjira Drives, commonly
known as the Mereenie Loop.

9.5 Gibb River Road
You must never take the Vehicle on the Gibb River Road in Western Australia
unless:
(a) the Vehicle is a 4WD;
(b) You have purchased Unsealed Road Cover; and
(c) You have hired a second spare wheel from Us.
9.6 Roadside Assistance exclusion for some 4WD''s
Notwithstanding that a 4WD with Unsealed Road Cover may be driven in the areas
listed in clause 9.4, Roadside Assistance under clause 11 does not apply to it being
driven on:
(a) the access road from the Great Northern Highway to the Purnululu National Park (Bungle Bungles);
(b) the Oodnadatta Track;
(c) the road to Dalhousie Springs, or
(d) the Gibb River Road,

and any costs incurred, including retrieval of the Vehicle, are at Your own expense

CROSS BORDER/INTERNATIONAL ONE-WAYS

Cross border travel is NOT permitted. The vehicle insurance will be deemed void if vehicles are taken cross border when permitted.

International one-way travel is NOT available. The vehicle insurance will be deemed void if vehicles are not returned to the agreed pick-up location.

NATIONAL ONE-WAY TRAVEL

For National one-way travel, we will confirm the availability and the price of this service once the reservation has been made and we have received a confirmation from the supplier.

GRACE PERIOD

THE GRACE PERIOD IS

The supplier establishes a grace period of 29 minutes from the indicated time in the reservation.

Additional collection fees, administrative and out of hours charges may also be applicable if the vehicle is returned late without prior notice.

IMPORTANT:
The client must scrupulously comply with the delivery and return times indicated in their reservation and on their voucher.
Although the number of rental days as well as their price are calculated based on 24-hour periods, some providers charge penalties or even additional days from the exact return time that appears in the reservation, without taking into account the period of 24 hours.
Flexible Autos will not make any refund / compensation for this reason.

A second spare wheel is required for car group FFAR in some remote routes. Daily charge of 15.00 AUD, with a maximum charge 210.00 AUD.

IMPORTANT: we no longer offer GPS units at Europcar locations in Western Australia.


OUT OF HOURS SERVICE

THE OUT OF HOURS SERVICE AVAILABILITY IS

The Out of Hours service is an on request service and may not be available at all locations. This service may incur additional charges, such as: Out of Hours pick-up/drop-off fee, airport/location fees and taxes.


CANCELLATIONS AND NO SHOWS

CANCELLATION AND NO SHOW POLICIES AND FEES

Cancellation policy and fees: Cancellations are generally free of charge up to 48hrs prior to collection. If your reservation is cancelled within 48 hours of your collection time, charges may apply. Please contact the Flexible Autos call centre to confirm any possible charges.
No show policy and fees: The booking will be considered a ''''No Show'''' for a number of reasons, but not limited to: failure to collect your rental car at the agreed booked time, if the main driver and any named drivers are unable to present the requested documentation, failure to present a valid driver’s licence, failure to provide a credit card with enough credit for the deposit, or are found to be incapable of driving the vehicle through, alcohol or drugs. A 100% cancellation fee will apply unless otherwise stated. No refunds are payable on cars returned early.


SUPPLIER/ROADSIDE ASSISTANCE

ROADSIDE ASSISTANCE INFORMATION

In case of a breakdown customers must stay with the car and contact the rental office for assistance. Telephone numbers are on the rental paperwork, please confirm at the time of pick-up of the rental vehicle.

In case of an accident, the customer must remain with the vehicle, and complete a police report at the time of the incident.

In case of theft of the vehicle or vehicle equipment customers must contact the rental office and make a report to the police.

SUPPLIER CONTACT INFORMATION

Dependant on the circumstances, we reserve the right to not replace the vehicle and pass on specific repair/callout charges to the customer.


EXTRA INFORMATION AND COSTS

TOLL CHARGES

Toll charge information:

Drivers are responsible for all toll charges throughout Australia. All tolls incurred by the vehicle when used on any Australian toll road will be billed by an independent tolling provider, Roads and Maritime Services (RMS) directly to the driver. All Europcar vehicles have been registered on RMS’ e-toll system. For each day that a vehicle uses a toll road, the driver will be charged for each toll point, as well as a service fee of 3.30 AUD per day used.

WINTER COVER

Snow chains are charged at 16.50 AUD per day.

RENTAL EXTENSION

The Extension must be authorized by the rental location at least 48 hours before the initial rental end date.

Please note that it may not always be possible to extend the hire. When the rental branch agrees to extend the hire, the rental will be charged at the prevailing rate which may be higher or lower than the original booking rate.

VEHICLE MONITORING SYSTEM

Some of our vehicles contain tracking devices which will be used in accordance with our data protection policy.

ACCIDENT ADMINISTRATION FINES

An accident administration fee of 50.00 AUD including VAT is charged if the customer has been involved in an accident.

The will be a 200.00 AUD claims administration fee for accidents including a third party.

PETS ON BOARD

Pets can only be transported in the vehicle kept in a carrier. The vehicle must be cleaned before return. If a customer is found not to have done so, a cleaning fee will be charged. Please inform the supplier at the time of booking

RENTAL DURATION

There is no maximum length of rental, however the customer will have to go to a local branch every 30 days to have the condition of the vehicle checked.

If the Rental Period exceeds 30 days You must return the Vehicle to the nearest Rental Station to check the car.

Please read the Terms and Conditions of your vehicle hire carefully before signing for the rental vehicle.

Please note, not all supplier excess waivers cover the following, unless otherwise stated in the excess waiver packages: damage to wheels, tyres, hubcaps, locks, windows, side and rear-view mirrors, undercarriage of the vehicle, suspension, damage to clutch, damage to exterior paintwork. Any damage and loss incurred not arising from general use.

If there is an option extra and service you do not want, you must ask for the removal of the item before signing the contract. Any option extra and service that is accepted with the customer’s signature will be charged to your credit card and Flexible Autos you will not be able to reimburse it later.

DRIVER NEGLIGENCE

Driver negligence''s and deliberate damage/loss, are not covered by the suppliers insurance waivers, and will incur additional costs and administration charges, if the customer has been found to have acted against the terms and conditions of the rental agreement:

Dropping the rental vehicle off at a supplier office, other than agreed in the rental agreement.

Abandoning the vehicle.

All costs derived from the use of the incorrect and/or lack of petrol.

The supplier is not to be held liable for items stolen, forgotten or lost inside the vehicle. It is recommended having these items covered through personal travel cover.

The loss/damage of the vehicle documents and/or keys.

It is not permitted to remove the vehicles seats.

If the driver is found to be under the influence of alcohol or drugs, and/or found using their cellular phone at the time of the accident.

Driving the vehicle when tired and not feeling well.

The use not permitted includes and is not limited to the following cases mentioned by way of example: Pushing or towing another vehicle.

Driving in areas not suited to public transport, such as beaches, race tracks, forestry roads, back roads, dirt roads and very poorly paved roads that could cause damage to the underside of the vehicle.

Driving the vehicle in restricted areas, and more specifically on airport roads and other roads for aeronautical and/or military use.

Negligent behaviour when the vehicle’s indicators show an alert that customer’s state are known to them when they sign the agreement.

Transport of goods or animals and, in particular, substances that are hazardous, inflammable and/or poisonous for the vehicle and its occupants.

The transport of individuals or goods for which the customers receive direct or indirect payment.

Using the vehicle for unlawful activities, reckless driving, sub-leasing the vehicle, giving driving lesson, or teaching special driving technics.

Transporting a number of passengers and amount of luggage not authorised for the vehicle concerned.

Manipulation of the speedometer. Customers must report any malfunction of the speedometer to the supplier immediately.

Transport of luggage or any other item on the vehicle’s roof, even when an adequate luggage rack is used for the purpose.

Damage to the vehicle caused by leaving tempting items in plain sight inside the vehicle.

Dirtying the inside of the vehicle beyond what would be expected from reasonable and careful use.

Driving against the traffic regulations.

The vehicle is driven by a person who is not authorised to do so in the agreement, as either a customer and/or a supplementary driver.

Continued use of the vehicle after the rental period has ended.


DISCLAIMER

TERMS AND CONDITION AMENDMENTS

Flexible Autos makes every effort to ensure that all the information provided is correct at the time of booking. The terms and conditions presented in the rental voucher are reviewed and updated by the supplier on a regular basis. Flexible cars are not responsible for the updates if made after the booking has been made.

The supplier has the right to refuse to serve the vehicle if he considers that the driver is displaying inappropriate behaviour or suspects that the driver might be under the influence of alcohol or drugs.
The supplier has also the right to refuse to serve the vehicle if the driver intends to use the vehicle commercially rather than for holiday purposes (except for cargo vans).
