REQUIRED RENTAL DOCUMENTS

THE REQUIRED DOCUMENTS ARE

When collecting the vehicle, both the main driver and additional drivers must present a valid Driving Licence with a photocard and a valid Passport.

A driving licence must be presented in legible Roman letters.

An International Driving Permit (IDP) will be required if the driving licence is written in characters different to those of the renting country.
It is the drivers responsibility to ensure that they have the appropriate licence. Please check with the embassy or consulate in advance.

A credit card in the name of the main driver is required, with sufficient funds for both the security deposit and for any service or extras requested locally. The card (either credit or debit depending on the destination/supplier) must display the 16 numbers and show the expiry date. The PIN code will be required.

The Flexible Autos voucher is required when picking up your rental car.

If you do not present any of the required documents, the documentation is not valid or you do not have enough funds on your credit card, the car rental agent may refuse to deliver the vehicle, without refunding any amount if the supplier establishes it in its conditions.

New Customers are required to produce a second form of identification, as a utilities (electricity, gas or phone) bill, less than 3 months old, which confirms the address, first and last name indicated during the reservation process.

LICENCE REQUIREMENTS

Driving Licences must be held for a minimum of 2 years.

ADDITIONAL REQUIREMENTS

UK driving licence holders hiring a vehicle within the UK and Ireland will need to use “Share Driving Licence”, the new online service from the DVLA, for validation of their driving record.

To view and create a one-time passcode the driver should go to https://www.gov.uk/view-driving-license where the driver will be asked to submit their:

Driving licence number
National Insurance number
Postcode

The passcode, which will be valid for a period of 72 hours - 21 days, from the point it is generated, must be presented and still be valid when picking up any rental vehicle.

Any drivers unable to obtain a passcode should call the DVLA Customer Contact Centre on 0300 083 0013 (Mon - Fri 9am - 5pm).

Alternatively, provided the driver brings their National Insurance number we can help them obtain the passcode by giving them access to ‘Share Driving Licence’ when picking up the vehicle.

UK residents that hold a non-EU licence may drive for up to 12 months from the time they become a resident. After 12 months, the overseas licence will be deemed illegal in the UK, and it must be exchanged for the UK equivalent.

UK Resident with an EU Driving Licence is valid until the age of 70 or for 3 years after becoming a UK resident, whichever is longest.

All visitors to the UK must present a full valid licence, a Passport, ID showing home address and proof of entry/exit to the UK (plane/ferry tickets, e-tickets acceptable) must be produced if not a UK resident. Visitors to the UK will have their Passport and Driving Licence updated for authenticity by the ID Scan at participating locations.

Anyone resident in the UK but holds a non-UK Driving Licence, must produce full valid Passport. If the licence does not show an address, the holder must also produce proof of current address in the form of a current Credit Finance Agreement, current utilities bill, or current Bank Statement.

For Non UK driving licence holders: the following documentation must also be provided: (i) Passport or National ID card, (ii) proof of entry/exit into/out of the UK (e-tickets acceptable).

Valid for UK licence holders only a DVLA check, charged per rental, 11.90 GBP.

ENDORSMENTS AND CONVICTIONS

You may be denied rental for reasons including, but not limited to the following:

Previous driving disqualifications
Pending prosecution or police enquiry
Convictions for offences relating to theft, fraud or dishonesty
Involved in an at-fault accident within the last 5 years
Involved in more than 1 accident in the last 3 years
Defective vision

The main and additional drivers licences must be unendorsed.

EXPERIAN AUTHENTICATE CHECK

All customers with a UK home address will need to pass an Experian Authenticate check as verification of residence at their given address. Any customer failing an Authenticate check will not be allowed to rent.
Experian Authenticate Plus enables Europcar to combat identity fraud by using independent data sources to establish a degree of confidence in the person''s identity. This is achieved by validating that the presented details relating to the person''s name and address being supplied to Europcar are correct and that the person exists, and that they owner of these details is the person presenting them to Europcar.

This check will leave an electronic note, or ''footprint'', on your records to say that a check has taken place. It does NOT affect your credit rating, is not used as part of the credit vetting process, and the information is not sold to third parties.

Authenticate Plus enables Europcar to accurately authenticate a person''s identity without the need for documentary proof. A level of confidence in the identity of an applicant can be gained using the authentication index, number of identification confirmations, and the absence of Fraud Alerts. The Authentication index, ID confirmations, and Fraud Alerts are created by matching information provided by the applicant against that held on Experian''s database of over 500 million records from a variety of different data sources.

FUEL POLICY

THE FUEL POLICY IS

For 1-3 - %int2 days rentals, the vehicle is supplied with a fuel tank of fuel and should be returned full, otherwise, you will be charged for the missing fuel, plus a refuelling charge.
For rental durations of 4 days or more, it is recommended the customer prepays the cost of a full tank of fuel. This will eliminate the need to refuel before returning the vehicle.

There is a maximum age requirement of 75 years in the following locations:

York.

All other locations there is no maximum age for renting a car.


ADDITIONAL DRIVERS

ADDITIONAL DRIVER REQUIRMENTS ARE

Additional drivers have a local charge of 15.30 GBP per day plus local taxes with a maximum charge of 131 GBP per rental plus local taxes.

Your booking is allowed a maximum of 8 additional drivers per rental.

All additional drivers must meet all rental requirements, accompany the main driver when picking the rental car up and sign the rental agreement.


DRIVING RESTRICTIONS

GENERAL RESTRICTIONS ARE

Driving the vehicle without prior consent outside of the hire country will invalidate the agreed insurance coverage.

CROSS BORDER/INTERNATIONAL ONE-WAYS

If an International one-way travel is permitted, we will confirm the availability and the price of this service once the reservation has been made and we have received a confirmation from the supplier.

Please confirm, either at the time of booking and/or at the pick-up location, any restrictions and additional costs: if you are intending to drive across the border of the rental country.

Cross Border travel is permitted, however the customer must purchase the Europdrive package. The Europdrive Package is only available to purchase at the counter and also applies to vehicles going to the Republic of Ireland from mainland UK.

The cost is based on the number of day’s rental.

The Europdrive Package is only available to purchase at the counter and applies to vehicles going to the Republic of Ireland from mainland UK also.

The following vehicles maybe taken cross border: MCMR, ECMR, ECAR, CCMR, CDMR, IDMR, CCAR, IVMR, CWMR, SDAR, SDMR, SVMR, FVMR, FVAR, DDMR, CZMR, DCMR, DCAR, DCBR.

Vehicles may be taken from Northern Ireland into Southern Ireland from a cost of 5.00 GBP per day. Customer also will be required to purchase this version of Europdrive.

NATIONAL ONE-WAY TRAVEL

For National one-way travel, we will confirm the availability and the price of this service once the reservation has been made and we have received a confirmation from the supplier.


GRACE PERIOD

THE GRACE PERIOD IS

The supplier establishes a grace period of 29 minutes from the indicated time in the reservation.

Should the rental car outside of the expected drop-off time. The customer will be charged a pro-rated hourly fee in addition to a full days rental.

IMPORTANT:
The client must scrupulously comply with the delivery and return times indicated in their reservation and on their voucher.
Although the number of rental days as well as their price are calculated based on 24-hour periods, some providers charge penalties or even additional days from the exact return time that appears in the reservation, without taking into account the period of 24 hours.
Flexible Autos will not make any refund / compensation for this reason.

Providing the Delivery and Collection service is available, confirmation will be given at the time of booking.


OUT OF HOURS SERVICE

THE OUT OF HOURS SERVICE AVAILABILITY IS

The Out of Hour service is by request basis only. This service may not be available at all locations. There will be an extra charge of 59.50 GBP + tax, for picking up and dropping off the vehicle. In some cases airport/location fees may also be applied. All Out of Hours fees are to be pay locally.

If you chose to leave the hire vehicles key in the Drop Box, either out of hours or while the station is open the extra fee of £20,00 apply


CANCELLATIONS AND NO SHOWS

CANCELLATION AND NO SHOW POLICIES AND FEES

Cancellation policy and fees: Cancellations are generally free of charge up to 48hrs prior to collection. If your reservation is cancelled within 48 hours of your collection time, charges may apply. Please contact the Flexible Autos call centre to confirm any possible charges.
No show policy and fees: The booking will be considered a ''''No Show'''' for a number of reasons, but not limited to: failure to collect your rental car at the agreed booked time, if the main driver and any named drivers are unable to present the requested documentation, failure to present a valid driver’s licence, failure to provide a credit card with enough credit for the deposit, or are found to be incapable of driving the vehicle through, alcohol or drugs. A 100% cancellation fee will apply unless otherwise stated. No refunds are payable on cars returned early.


SUPPLIER/ROADSIDE ASSISTANCE

ROADSIDE ASSISTANCE INFORMATION

In case of a breakdown customers must stay with the car and contact the rental office for assistance. Telephone numbers are on the rental paperwork, please confirm at the time of pick-up of the rental vehicle.

In case of an accident, the customer must remain with the vehicle, and complete a police report at the time of the incident.

In case of theft of the vehicle or vehicle equipment customers must contact the rental office and make a report to the police.


EXTRA INFORMATION AND COSTS

CONGESTION CHARGES

There are some cities in the UK, for example London and Durham, that charge congestion fees for driving in and through them. The customer is responsible for checking the congestion terms and is liable for the payment of such fees: https://tfl.gov.uk/modes/driving/congestion-charge
This must be booked locally to the supplier. In case of non or late payment, any fine and additional fees will be charged to the customer''s credit card.

There is a mandatory local government tax levied to enable you to drive a Vehicle if you pick it up from within the London Congestion Zone. The Charge will be valid up to midnight on the day of pick-up.

PETS ON BOARD

No pets on board of the rented vehicle are allowed , except guide dogs.

Pets can only be transported in the vehicle kept in a carrier. The vehicle must be cleaned before return. If a customer is found not to have done so, a cleaning fee will be charged. Please inform the supplier at the time of booking

ANIMAL POLICY

We do not allow any animals other than Assistance Dogs to be transported in our vehicles.

If you are travelling with an Assistance Dog, please note that we do not supply dog guards or any other form of animal restraint for our vehicles. The customer is therefore responsible at all times for the behaviour and well-being of your dog. This responsibility includes ensuring that the dog is suitably restrained at all times, it does not distract the driver, or cause risk or injury to you, or any other passengers sharing the vehicle with you.

Please note that we do not under any circumstances accept liability for damage suffered by the vehicle or for injury caused to the dog, or to you, or the driver, or to any passengers, as a result of your failure to keep the dog appropriately restrained and/or controlled.

In addition you are required to return the vehicle to us in the same condition as it was at the start of the hire period (fair wear and tear excepted). If it is returned to us in a dirty or messy and/or damaged condition to the extent that it will require specialist cleaning and/or repair before it can be rented to the next customer then you will be liable for the special cleaning/valet charge.

LONDON CONGESTION CHARGE

Congestion Charge is applicable in Central London.

The charge is payable daily Monday to Friday for each day a vehicle moves within the zone. No charge is payable for vehicles when they are parked within the zone for a full day.

The daily charge is 11.50 GBP, if paid by midnight on the day of travel and 14.00 GBP, if paid the next day. It is payable either by phone, online or at selected retail outlets within the zone (next day payment only available online or by phone).

There is a fixed penalty system that will issue fines of 130.00 per GBP day for non-payment, which is reduced to 65.00 GBP if paid within 14 days.

Marble Arch and London Waterloo are the only Europcar locations that fall into the Central London zone. If the customer picks up a car from Marble Arch between Monday and Friday (07:00-18:00) inclusive, Europcar will offer to add the first day''s Congestion Charge to the rental agreement for the customers convenience. The customer will then be responsible for paying the daily charge for all subsequent days (Saturday, Sunday and public holidays are exempt). For a customer picking up a car from Marble Arch on a Saturday, Sunday or public holiday, no Congestion Charge fee will be added to the rental agreement for that first day. They will then be responsible for paying the fee for all subsequent chargeable days (excluding Saturday, Sunday and public holidays).

Please read the Terms and Conditions of your vehicle hire carefully before signing for the rental vehicle.

Please note, not all supplier excess waivers cover the following, unless otherwise stated in the excess waiver packages: damage to wheels, tyres, hubcaps, locks, windows, side and rear-view mirrors, undercarriage of the vehicle, suspension, damage to clutch, damage to exterior paintwork. Any damage and loss incurred not arising from general use.

If there is an option extra and service you do not want, you must ask for the removal of the item before signing the contract. Any option extra and service that is accepted with the customer’s signature will be charged to your credit card and Flexible Autos you will not be able to reimburse it later.

DRIVER NEGLIGENCE

Driver negligence''s and deliberate damage/loss, are not covered by the suppliers insurance waivers, and will incur additional costs and administration charges, if the customer has been found to have acted against the terms and conditions of the rental agreement:

Dropping the rental vehicle off at a supplier office, other than agreed in the rental agreement.

Abandoning the vehicle.

All costs derived from the use of the incorrect and/or lack of petrol.

The supplier is not to be held liable for items stolen, forgotten or lost inside the vehicle. It is recommended having these items covered through personal travel cover.

The loss/damage of the vehicle documents and/or keys.

It is not permitted to remove the vehicles seats.

If the driver is found to be under the influence of alcohol or drugs, and/or found using their cellular phone at the time of the accident.

Driving the vehicle when tired and not feeling well.

The use not permitted includes and is not limited to the following cases mentioned by way of example: Pushing or towing another vehicle.

Driving in areas not suited to public transport, such as beaches, race tracks, forestry roads, back roads, dirt roads and very poorly paved roads that could cause damage to the underside of the vehicle.

Driving the vehicle in restricted areas, and more specifically on airport roads and other roads for aeronautical and/or military use.

Negligent behaviour when the vehicle’s indicators show an alert that customer’s state are known to them when they sign the agreement.

Transport of goods or animals and, in particular, substances that are hazardous, inflammable and/or poisonous for the vehicle and its occupants.

The transport of individuals or goods for which the customers receive direct or indirect payment.

Using the vehicle for unlawful activities, reckless driving, sub-leasing the vehicle, giving driving lesson, or teaching special driving technics.

Transporting a number of passengers and amount of luggage not authorised for the vehicle concerned.

Manipulation of the speedometer. Customers must report any malfunction of the speedometer to the supplier immediately.

Transport of luggage or any other item on the vehicle’s roof, even when an adequate luggage rack is used for the purpose.

Damage to the vehicle caused by leaving tempting items in plain sight inside the vehicle.

Dirtying the inside of the vehicle beyond what would be expected from reasonable and careful use.

Driving against the traffic regulations.

The vehicle is driven by a person who is not authorised to do so in the agreement, as either a customer and/or a supplementary driver.

Continued use of the vehicle after the rental period has ended.


DISCLAIMER

TERMS AND CONDITION AMENDMENTS

Flexible Autos makes every effort to ensure that all the information provided is correct at the time of booking. The terms and conditions presented in the rental voucher are reviewed and updated by the supplier on a regular basis. Flexible cars are not responsible for the updates if made after the booking has been made.

The supplier has the right to refuse to serve the vehicle if he considers that the driver is displaying inappropriate behaviour or suspects that the driver might be under the influence of alcohol or drugs.
The supplier has also the right to refuse to serve the vehicle if the driver intends to use the vehicle commercially rather than for holiday purposes (except for cargo vans).
